Job Description:
- Maintain and manage Director’ calendars (business), including arranging meetings, conference calls, video conferences, together with all associated logistics and rescheduling of meetings when necessary.
- Act as a liaison between Director and internal teams as well as external stakeholders
- Prepare documents, reports, presentations, and minutes of meetings, including follow-up on action items
- Arrange business travel (flights, accommodations, itineraries, and related logistics)
- Coordinate cross-departmental activities to ensure smooth execution of Director’ directives
- Support communication with clients, partners, and stakeholders
- Assist in ensuring the smooth execution of meetings and coordination activities
- Provide administrative and personal support to the executive as required
- Maintain strict confidentiality of sensitive information and documents
- Provide personal support that helps improve effectivity of Director’ needs
- Handle ad-hoc tasks assigned by Director
Requirements:
- Bachelor’s degree in any major
- Minimum 5 years of experience as an Executive Secretary, Personal Assistant, or similar role
- Excellent communication skills in both English and Bahasa Indonesia (written and verbal)
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Proficient in collaboration tools such as Slack, Google Space
- Experienced in using AI tools such as Gemini or Claude
- Strong organizational, time management, and multitasking abilities
- High attention to detail and strong sense of responsibility
- Professional, proactive, and able to maintain confidentiality
- Able to work under pressure and manage multiple priorities
- Well-groomed with strong interpersonal skills
